This page explains what we collect when you visit this site or book the tea ceremony at aeru gojo, and what you can decide for yourself.

This site is operated by 株式会社和える (aeru), the company responsible for your information under this policy.

Information we collect

Reservation information

Bookings are taken through Bókun, the reservation system we use. When you book, its checkout asks for:

• your first and last name
• your email address
• your nationality (optional)
• the number and type of participants, and the date and time you choose
• whether you would like to receive news and offers by email (optional, off unless you tick it)

Payment is handled by Bókun and its payment provider. We do not receive or store your full card details.

Feedback form information

After the experience we invite guests to leave a short reflection. If you use that form, we receive:

• the email address you submit through our feedback form
• feedback or review-related information you submit, when provided

We use this to send occasional stories and updates from aeru, to improve our experiences and services, and to respond to any inquiry or request you make. Leaving your address is optional, and the form can be submitted without it.

Website usage information

Where the tools below are switched on and you allow them, we also receive information about how this site is used: cookie identifiers, pages viewed, and measurements of how our advertising performs. Nothing in this category is collected before you choose to allow it.

Cookies

We group them in three, and you decide on the last two.

At present we run no analytics or advertising tools on this site at all, so only the essential ones below are in use. We may switch on the tools described under analytics and advertising when we begin advertising, and if we do, they will load only for visitors who have allowed that category.

Essential cookies and storage

Needed for the page and the booking calendar to work. These are always on.

• Bókun booking session — a cookie set by Bókun when the page loads, so the booking calendar and your basket stay connected.
• Your cookie choice — kept in your browser’s local storage, not in a cookie. It records only what you chose here, and nothing about you.

Analytics cookies

Not in use today. If we switch analytics on, we would use Google Analytics 4 to understand how the pages are used, and it would load only for visitors who have allowed analytics.

Advertising cookies

Not in use today. If we switch advertising measurement on, we would use Meta Pixel to measure how our advertising performs, and it would load only for visitors who have allowed advertising.

The Bókun checkout

When you go through to the checkout, Bókun’s own pages set further cookies for payment and for monitoring their service. Those are set by Bókun rather than by us, and our choices here do not control them. Bókun explains them in its privacy policy.

Cookie preferences and withdrawal

You can set or change your choice at any time, including now while nothing is running, and it will be honoured if we switch these tools on later. Rejecting analytics and advertising leaves browsing and booking working exactly as normal.

Cookie settings

Your choice is remembered for 12 months, after which we will ask again. Clearing your browser’s storage for this site also clears it.

Who we share it with, and transfers outside the EEA

Reservation information is shared with Bókun and its payment provider so that your booking can be taken and paid for. Feedback form submissions are received and stored through Google Workspace, which we use to keep the responses. If we switch analytics or advertising on and you allow that category, the corresponding information would be received by Google or by Meta.

Where personal information is transferred outside the EEA, we rely on appropriate safeguards required by applicable laws, which may include adequacy decisions, Standard Contractual Clauses, or other recognised mechanisms.

How long we keep it

• Cookies — for the periods set by each provider. Google and Meta describe their own in their policies.
• Your cookie choice — 12 months.
• Reservation information — only for as long as necessary for reservation management, legal obligations, accounting, and dispute resolution.
• Feedback form information — for as long as we are improving the experience on the strength of it. If you have asked for our emails, we keep your address until you ask us to stop.

Children’s privacy

Children may take part in our experiences. Where information about a child is required for a reservation, it is provided by a parent or guardian.

Your rights

Depending on where you live, you may ask us for a copy of the information we hold about you, ask us to correct or delete it, object to or restrict how we use it, or ask for it in a portable form. You may withdraw your consent to analytics and advertising at any time using the button above, and this does not affect what was collected beforehand.

If you are in the EEA or the UK, you also have the right to complain to your national data protection authority.

Requests regarding personal information

You may request disclosure, correction, deletion, or suspension of use of your personal information where applicable under Japanese laws.

To make such a request, please contact us using the details below. We may ask you to verify your identity before we respond. We handle requests in accordance with applicable laws.

Changes to this policy

If we change how we handle your information, we will update this page and the date below.
